Privacy Policy

This policy explains what personal data Trade Stockroom ("we", "us") collects when you use this website or place an order, why, and what rights you have over it. We are the data controller for the purposes of UK GDPR and the Data Protection Act 2018.

1. What we collect

When you browse the site, we don't collect any personal data. When you place an order, we (via our payment provider, Stripe) collect:

• Your name, email address, and phone number
• Your delivery address, if you choose delivery rather than collection
• Order details — items purchased, price paid, delivery method
• Payment is handled entirely by Stripe — we never see or store your card number

2. Why we collect it, and our legal basis

• To fulfil your order (contacting you, arranging delivery, handling returns) — necessary to perform our contract with you.
• To meet legal obligations (e.g. accounting and tax records) — necessary for legal compliance.
• To prevent fraud and abuse (e.g. stopping the same item being reserved by multiple people at once) — our legitimate interest in running the store safely.

We do not use your data for marketing unless you separately opt in to that in future, and we do not sell your data to anyone.

3. Who we share it with

• Stripe — our payment processor, who handles your card details and shipping information for checkout. See Stripe's own privacy policy at stripe.com/privacy.
• Supabase — our database and file storage provider, who host order and product data on our behalf.
• Delivery couriers — your name, address, and phone number are passed to whoever delivers your order.

None of these providers are permitted to use your data for their own purposes — they process it only on our instructions, to help us fulfil your order.

4. Where your data is stored

Our hosting and payment providers may process data on servers outside the UK (including the EU and US). Where this happens, they do so under recognised legal safeguards such as Standard Contractual Clauses.

5. How long we keep it

We keep order records for as long as required by UK tax law (currently 6 years), and delete other personal data once it's no longer needed to fulfil your order or resolve a dispute, whichever is sooner.

6. Your rights

Under UK GDPR, you have the right to:

• Ask what personal data we hold about you, and get a copy of it
• Ask us to correct inaccurate data
• Ask us to delete your data, where we're not required to keep it (e.g. for tax records)
• Object to or restrict how we use your data
• Complain to the Information Commissioner's Office (ico.org.uk) if you think we've mishandled your data

7. Cookies

This site itself does not use tracking or advertising cookies. Our payment provider, Stripe, sets its own cookies on its own checkout page for fraud prevention — these are covered by Stripe's privacy policy, not ours. See our full Cookie Policy for details.

8. Security

We restrict access to your data so that only systems and people who need it to fulfil your order can see it, and your payment details never pass through or get stored on our own servers at all.

9. Changes to this policy

If we change how we handle your data, we'll update this page and change the date at the top.
